Your records, your continuity

Your verification records remain yours.

The firm owns its verification records and audit trail. That position does not change because a subscription ends or Vericode's business status changes.

Export anytime

Keep the evidence where your firm keeps long-lived records.

Compliance-authorised users can export an authorised contact's audit in PDF or CSV. That is the currently published, self-service export capability. It is a per-authorised-contact audit export, not a claim that a single bulk workspace CSV or JSON download exists.

See verification evidence

What the export evidences

  • The authorised contact and masked verification target
  • Timestamps, requesting actor, verification method and outcome
  • The ordered, hash-chained audit events and integrity context
  • A portable PDF or CSV for the authorised contact's audit

Each authorised-contact check creates a timestamped, hash-chained record: who requested it, the masked target, method and outcome.

Scope matters

Evidence, not a shadow client file.

Verification evidence, not client files. Vericode stores recipient details, message and provider metadata, timestamps, actors, outcomes and audit events needed to operate and evidence an authorised-contact check. It does not require uploading client matter files.

The audit trail supports the firm's control record. The firm remains responsible for its own client file, engagement records, policies, training, incident record and any regulatory evidence outside the verification event.

Vericode supports customers' compliance processes; it does not replace those processes or discharge the firm's legal, professional, privacy or record-keeping obligations.

The lifecycle

What happens when people, or the firm, leave.

While subscribed

Authorised workspace users can review verification history. Compliance-authorised users can export an authorised contact's audit in PDF or CSV.

When a staff member leaves

Verification records belong to the workspace, not the individual user. They remain available to authorised workspace members after the departing person's access is removed.

When a subscription is cancelled

Billing stops and the firm's verification records stay available to export. To have them deleted, the workspace owner closes the workspace.

When the owner closes the workspace

From Settings, the owner can close the workspace. Staff lose access straight away and the owner has 30 days of read-only access to export records. After that the workspace data is deleted, except audit events kept to their seven-year retain-until date, billing records, and the record of Terms acceptance.

When deletion is requested

Vericode assesses the request against applicable legal and operational retention obligations, confirms what can be deleted, and explains any record that must be retained.

No fixed day count is promised for the export window, and no post-cancellation read-only access period is offered here. The records-retention guide is the authoritative published explanation of cancellation, export and deletion mechanics.

Continuity

Plan for the dispute that arrives years later.

An AFCA complaint, insurer review, client dispute or regulatory inquiry may outlive a subscription. Export important authorised-contact audits when the matter closes and on a regular compliance cadence. Store them with the firm's own durable records and retention schedule.

A practical exit checklist

  1. 01Identify open matters and authorised contacts whose evidence must be preserved.
  2. 02Export the relevant per-contact audits in PDF or CSV.
  3. 03Store the exports with the firm's matter, incident or compliance records.
  4. 04Remove departing staff access and complete exports during the cancellation window.
